What is Power BI?

Power BI is Microsoft’s business analytics platform for connecting to, visualizing and sharing data. It is a core workload of Microsoft Fabric, and existing Power BI content and workspaces keep working without migration.

PartWhat it is for
Power BI DesktopThe free Windows app for connecting to data, modeling it and building reports
Power BI serviceThe online service for publishing, sharing and collaborating on reports and dashboards
Power BI MobileApps for viewing reports on phones and tablets
Power Query (M)The data preparation engine; every step you record is written in the M language
DAXThe formula language for measures, calculated columns, calculated tables and row-level security

What is current in Power BI (2026)

  • Licenses: per-user licenses are Fabric (Free), Pro and Premium Per User (PPU). Free users can view shared content only when it is in a Premium (P) or F64-or-larger Fabric capacity (Microsoft Learn).
  • Premium P SKUs are being retired. Microsoft tells new and existing customers to buy Fabric F SKUs instead.
  • Copilot in Power BI needs a paid Fabric capacity (F2 or higher) or Power BI Premium (P1 or higher). Pro or PPU alone is not enough (Microsoft Learn).
  • Q&A is being retired in February 2027. Microsoft recommends Copilot for natural-language questions instead (Microsoft Learn).
  • DAX user-defined functions are now supported, so you can reuse your own logic across measures.

Where to start: a Power BI learning path

  1. Install and learn Power BI Desktop
  2. Build a report from a SharePoint list and Excel
  3. Create a date table
  4. Write your first measure
  5. Show data in a table visual
  6. Add slicers to your report
  7. Create a dashboard
  8. Secure data with row-level security

Power BI comparisons

How Power BI relates to Power Query and Power Apps.

Data preparation and modeling

Prepare data with Power Query and build a clean model: date tables, hierarchies, combining tables and data sources.

DAX measures and functions

Write DAX measures: SUM and SUMX, COUNT, IF, SWITCH, date differences, percentages and more.

Bar and column charts

Create and format bar, column, clustered and stacked charts.

Line and area charts

Show trends over time with line and area charts.

Pie, donut and funnel charts

Show parts of a whole with pie and donut charts, and stages with funnel and pyramid charts.

Cards, KPIs, maps and other visuals

The other visuals: cards, KPIs, gauges, waterfalls, maps, scatter charts, treemaps and key influencers.

Matrix and table visuals

Format, sort and total the matrix and table visuals.

Slicers and filters

Let report users filter data with slicers and filters, and sync them across pages.

Dashboards, sharing and security

Build dashboards, refresh data on a schedule, export data and secure it with row-level security.

Power BI with Power Automate

Automate Power BI tasks with Power Automate flows.

Frequently asked questions

What is the difference between Power BI Desktop and the Power BI service?

Power BI Desktop is the free Windows app where you connect to data, build the model and design reports. The Power BI service is the online platform where you publish, share and collaborate on those reports and dashboards.

What is the difference between Power Query and DAX?

Power Query prepares and cleans data before it is loaded, and its steps are written in the M language. DAX works on the loaded model to create measures, calculated columns and row-level security rules.

Which Power BI license do I need to share reports?

To share and collaborate you need Pro or Premium Per User. Free users can only view shared content when it is stored in a Premium (P) capacity or a Fabric F64 or larger capacity.

Can I use Copilot in Power BI with a Pro license?

No. Copilot in Power BI needs a paid Fabric capacity (F2 or higher) or Power BI Premium (P1 or higher). Pro or Premium Per User on their own are not enough.

Is Power BI Q&A being retired?

Yes. Microsoft says the Q&A natural-language feature goes away in February 2027, and recommends Copilot in Power BI instead.
