In this SharePoint Online tutorial, we will discuss on SharePoint Group Calendar web part.
We will discuss the SharePoint Group Calendar web part and how by using the group calendar web part we can easily display the upcoming events to the users. We can also schedule meetings on a group calendar web part in SharePoint Online.
We will see a few examples in the group calendar web part on SharePoint online environment. Some of the features might not be available in SharePoint Server 2019.
What is a Group Calendar in SharePoint
- The Microsoft 365 Group is connected to the SharePoint modern online team sites that provide a SharePoint shared calendar. Every member in a group can schedule a session or conference on a group calendar in aOutlook.
- Each group has a shared calendar where you and every member of your group can schedule, edit, and see upcoming events.
How to add Group Calendar web part in SharePoint online
Let us see how to create, add, and edit an event in a group calendar web part in modern SharePoint sites,
- Go to the modern SharePoint site page where you want to add a group calendar to the SharePoint site page.
- Choose Edit Page at the top right of the SharePoint site page.
- Select + circled icon then add a new Section layout.
- In the search box, enter the group calendar and select the group calendar web part.
In the below screenshot, you can see the group calendar web part is added, where you can see the Upcoming tab to view the upcoming events and the Past tab to view the past events. We can also give a title for the group calendar web part.
- If the events are not scheduled we can create a new event.
- To add a new event click on the link (highlighted in red) which redirects to the group calendar in outlook. Else you can redirect to the outlook calendar view.
- Select the New event option to create a new event.
To create an event, click on the New Event option and fill in the details below:
- Title: Add the title of the event.
- Attendees: Invite members, unless you invite them an invitation won’t be sent to the group members. Group members will receive an invitation in their email.
- Start date and End date: Select the date and time for the event to be scheduled.
- Location: Set the location where the event is organized, we also have an option to enable Teams meetings.
- Reminder: Set a reminder, to remind users about the event.
- Description: Add a description or attach documents regarding the event which is optional.
- Now click on the save button, to save the Event.
Click send to share the event with your group members, so that the group members can receive an invitation.
In the below screenshot, you can see the event is created.
Here, we can view the created upcoming event in the Upcoming tab of the group calendar web part as shown below:
We can also view and add the event to your calendar as shown below:
In the Past tab it displays the completed event of the group calendar web part as shown below:
- By Editing, the group calendar web part we can select the SharePoint site page as a group name, and we can use the slider to select the number of events to be displayed on the SharePoint site page.
- The maximum number of events that we can display per page is 10.

SharePoint group calendar month view
Let us see how can we display the group calendar as a monthly view in SharePoint,
To achieve this follow the below steps:
- Open outlook office 365 and select the calendar view option.
- We can change the scope of the group calendar in modern SharePoint
- As well we can view the group calendar in day, work week, week, or month scope.
- All the events which we created, are displayed in the group calendar web part.
- The filter option is not available in the Group calendar, so we cannot filter it by month in the Group calendar web part.
In this example, I have created an event for April Month, it also displays the event under the Upcoming tabs.
This is how can we display the group calendar as a monthly view.

SharePoint group calendar sync with outlook
Let us see how can we add or sync the group calendar with outlook in SharePoint,
- In the modern SharePoint site page, when you add a group calendar web part we can see the Sync option available in the web part.
- Select the Sync Calendar option at the top of the group calendar web part to sync a group calendar with outlook.
- If you want to check any newly added events available, then you can click the Sync calendar button.
- It will refresh the group calendar web part and makes sure that we are seeing the latest events.
- Once it is Synced, it displays the latest events if any are added.
Select the calendar checkbox under My calendars, so that it will also display the events that are synced with the calendar.
If you didn’t select the calendar option under My calendars, you will not see the events synced with the calendar. You will only see the events that are synced with the SharePoint site page as shown below:

How to edit an event in the Modern SharePoint group calendar
Let us see how to edit an event in the SharePoint group calendar,
To edit an event in a modern SharePoint group calendar, follow the below steps:
- Open outlook office 365 and select the calendar view option.
- Click on the event that you want to edit. Select the Edit option and update the event.
- Once edited select the Send option. You can also see the Pop message like “Update send”
- Group members will receive updates in their inboxes.

How to Cancel an event in the Modern SharePoint group calendar
Let us see how to cancel an event in the SharePoint group calendar,
To cancel an event in a modern SharePoint group calendar, follow the below steps:
- Open outlook office 365 and select the calendar view option.
- Click on the event that you want to cancel. Select the cancel option.
- You can cancel the event and notify the attendees. We can also add a message which is optional. Select send to cancel an event.
- You can see a pop-up like “Event deleted”.
In the below screenshot, you can see the event gets canceled.
When we cancel the event, it notifies the attendees and group members in their inbox as shown below:

- Make sure those users have been added as members of the group to view the group calendar in outlook.

SharePoint group calendar wrong time zone
In the modern SharePoint, the group calendar web part shows the wrong time zone. To overcome this, we have to set the proper Time Zone for users.
We can set the Time Zone for the user in the Regional Settings of the SharePoint site settings page.
The SharePoint regional setting maintains the time zone in the SharePoint site and for every user, it manages the default time which is controlled by the SharePoint Administrator.
You should have admin permission to change the regional settings for a SharePoint site. Follow the below steps,
- Open the SharePoint site -> Select the settings gear Icon -> pick Site Information -> Click view all site settings.
Under the SharePoint Site Administration, select Regional settings.
Set the Time Zone for this site on the Regional Settings page and then click on the OK button.

Let us see how can we create a group calendar view and show it in a modern SharePoint,
To create a SharePoint modern group calendar view follow the below steps:
- Open your SharePoint site list, and select the list, if you don’t have an existing list. Create a new SharePoint as per your need.
- From the list view, In the command bar and select All items and click on the Create new view option as shown below.
- Add a name to the list view, Under Show as an option click on the calendar option, we can also choose the start date and end date of the calendar.
- In the visibility section, select the public option if you want to make the calendar view public.
- Click on the Create button.
- Now we can able to view the new SharePoint modern calendar view is created in the list as presented below:
- On the right-hand side of the Events Pane, it displays the events created for the selected date.
- We can display or hide the events, if we want to preview the created event then we can click on the icon button. If we don’t want to preview the created events then we can select the same icon button
This is how we can create a group calendar view.
Yes, it is possible, to set or display the created SharePoint group calendar view as a default view.
To set the created SharePoint calendar view as a default view then follow the below steps:
- From the list view, In the command bar and select All items and click on the Set current view as the default option as shown below.
Once the SharePoint group calendar view list is created, we can add the modern SharePoint group calendar to a SharePoint page.
- Directly you cannot add the modern calendar to the Group calendar web part to display it on a SharePoint page.
- There are two alternative ways that we can display the modern calendar on a SharePoint site page.
- One way that we can add Modern Calendar to a SharePoint Online page using the List web part.
- Another way that we can add Modern Calendar to a SharePoint Online page using the Embed web part.

Let us see, using the List web part how we can add Modern Calendar to a SharePoint Online page
- Open the SharePoint page in Edit mode by clicking the edit button from the top right corner.
- Add a new section and search for the List web part. Click on the List web part from Search results. It will add the List web part to your modern page.
- Initially, the List web part shows all the lists available on your SharePoint site. Click on the list name where you created a modern calendar view.
- By default, the List web part will load the default view of your SharePoint list. If you have set the newly created Calendar view as your default view, skip this step. Else, select your calendar view from the Switch view options dropdown as shown below:
- Click on Publish or Republish button to save the changes.
We can see the expected output on the SharePoint site page as shown below:

Add Calendar in a SharePoint Modern page using Embed web part
Let us see, using the List web part how we can add Modern Calendar to a SharePoint Online page,
Follow the below steps to embed a modern calendar to a SharePoint site page:
- Open your SharePoint list and select the calendar view that you have created.
- Copy the URL of the calendar view from the browser.
- Open the SharePoint page in Edit mode by clicking the edit button from the top right corner.
- Add a new section and search for the Embed web part. Click on the Embed web part from Search results. It will add the List web part to your modern page.
- Edit the embed web part as shown below:
- Construct the embed code as shown below using the
<iframe>
tag, replacesrc
attribute with the copied URL of the calendar view in the second step.

- In the property pane of the Embed web part, paste the embed code into the Website address or embed code box. Click on Publish or Republish button to save the changes.

SharePoint Group Calendar Widget
- When we add a SharePoint group calendar widget, it displays the upcoming events in the SharePoint site front page so that the users can easily find the events.
- For some users, there is an issue, when they add a group calendar web part they could not able to display the events. But in edit mode, it displays the events.
- To overcome this issue, we should delete the previous group calendar web part and recreate a new group calendar web part on the SharePoint site page.
