What is Automated Cloud Flow in Power Automate?

An Automated Cloud Flow in Power Automate is a type of flow that triggers based on specific events. It allows users to automate repetitive tasks and processes. These flows can run automatically when conditions are met, such as item is created, receiving an email, updating a record, or uploading a file.

Example:

If you want to create a flow that runs every time a user adds a new item to a SharePoint list, you need to create an Automated Flow with the “when an item is created” trigger and specify that SharePoint list.

I want to create a flow that triggers when a new item is created in a SharePoint list (Project Tasks) that includes columns like Task, Priority, Due Date, and Assigned To.

Follow the below steps:

1. Go to the Power Automate site, click Create, and select Automated cloud flow.

2. Then, a pop-up titled ‘Build an automated cloud flow‘ opens. Here, give your flow a name and choose its trigger. In our case, it’s ‘When an item is created‘ in SharePoint. Click Create.

3. Now, click on the ‘When an item is created‘ option on the left side. Under Parameters, choose your Site Address and List Name.

4. Next, click the + icon to add an action. In the search box, type the action name (in our case, ‘ send an email‘) and select the ‘Send an email (V2)‘ flow action from the Outlook connector.

5. Here you will see three options:

  • To – Provide the email address to whom an email should be sent. We can provide the email address manually or using dynamic content.
  • Subject – Add the Title of your email.
  • Body – Add the message you want to send in the body! In this section, you can insert the link, change the font size, and make the text bold, italic, or underlined. You can format your mail as you want or can add dynamic content.

6. Then save the flow by clicking the Save button.

7. When a new task is added to the SharePoint list. Check the screenshot below.

8. Then, it will email the assigned person about the new task that was assigned.
