The workflow is sometimes described as a series of tasks producing a result. In the context of SharePoint products and technologies, a workflow is defined more precisely as the automated transfer of documents or items through a sequence of actions or tasks related to a business process.
Workflows can be used to consistently manage business processes within an organization by allowing the organization to associate business logic with documents or items in a SharePoint list or library.
Business logic is essentially a set of statements that specifies and controls the actions that are applied to a document or item.
Workflows can reduce the cost and time required to coordinate common business processes such as project approval or document review, managing, and following the human tasks involved in these processes.
For example, in a SharePoint site, you can add a workflow to a document library that routes a document to a group of people for approval.
When the document author launches this workflow on a document in this library, the workflow creates document approval tasks, assigns those tasks to workflow participants, and then sends email alerts to participants.
With task instructions and a link to the document to be approved. While the workflow is running, the workflow owner or workflow participants can view the workflow status page to see which participants completed their tasks.
When participants complete their tasks, the workflow ends and the workflow owner is automatically notified of the completion of the workflow.
