Create a list workflow using SharePoint designer 2010

Here we will see another example, how to create a SharePoint 2010 designer workflow.

Follow below steps to create a SharePoint 2010 designer workflow:

Step-1:
First Open the site using SharePoint designer 2010 (Start -> All Programs -> SharePoint -> Microsoft SharePoint designer 2010).

Step-2:
Then from the left side from Site Objects section click on Workflows. And from the Ribbon from List Workflow section select the SharePoint List on which you want to create a workflow as shown in the figure below:

Step-3:
Then in the next dialog box give a name for the Workflow as well as a description for the workflow as shown in the figure below:

Step-4:
Now we will add some condition and action. From the Ribbon click on condition and select If current item field equals value as shown in the figure below:

Step-5:
Then in the condition that we added now, click on the first value and it will open the Define workflow lookup, there select data source as Current Item and Field from source as TaskStatus (which is a custom field in my list). and then click on Ok.

Now click on the next value, According to the column we select above the list of values will come. you can select one. Final it will appear like below:

Step-6:
Now try to add an Action from the Ribbon. Select Update List Item from the Action as shown in the figure below:

Step-7:
Then set the field to Description and Write value as Task Completed as shown in the figure below:

Step-8:
Now click on Workflow Settings from the ribbon as shown in the figure below:

Step-9:
In the Workflow settings page, In the start options: UnCheck the first checkbox and Check on the other two checkboxes as shown in the figure below:

Step-10:
Now click on Save and then Publish the workflow as shown in the figure below:

Now once the workflow is published then whenever you will add or update an item if the current taskstatus is true then the description will be changed to Task Completed.

Follow below steps to create a list workflow using SharePoint designer 2010.

To Create a list workflow we have to create a custom list and then create columns as per your requirement.

Now the open SharePoint designer 2010, give your SharePoint 2010 site URL. It will open all the SharePoint site contents. Here, click on List and Libraries from the left side.

It will show all the lists and libraries present on the tour site. Choose your custom list from the right side and click on new to create a workflow.

Now one dialog box appears which asks for workflow name and description. Provide the name and description as shown in the fig below.

Now it will show the screen to add condition and action for the workflow. For example, you can choose the condition as below.

In the field provide the list column name and in the value provide the value of the field. Now place the cursor below condition add the action as follows.

After creating conditions and action your workflow will look like below.

Then click on save and publish. Then click on workflows from left side to set workflow settings. Now you can see that your workflow is created. Click on your workflow name from the right side.

From the start, option check start workflow automatically when an item is created and uncheck other two option. Now again save and publish. Now your workflow will run whenever an item is added to the SharePoint list.

Remove workflow from Lists and Libraries in SharePoint

Now, we will discuss how to remove workflow associated with SharePoint list and libraries.

If a workflow is no longer needed then you can remove the workflow from the list or from a document library in SharePoint.

To remove a workflow from a SharePoint document library follow the below steps:

On the Quick Launch or Site Content, click the document library or list where you associated a workflow template.

On the Quick Launch or Site Content, click the document library or list where you associated a workflow template.

This will open the workflow settings page. And click on the button “Remove a workflow”.

This will open the Confirmation page, There click on the Remove radio button and click on OK. This will remove the workflow successfully from the Document library.

How to attach workflows to content types in SharePoint 2010

Now, we will see, how to attach a workflow to content types in SharePoint 2010.

Follow below steps to attach a workflow to content type in SharePoint:

Browse to the SharePoint site where you want to add a workflow to a content type. In the Site Actions section, click Site Settings. On the Site Settings page under Galleries, click Site content types as shown in the fig below:

On the Site Content Type Gallery page, in the Site Content Type column, click the content type to which you want to add a workflow as shown in the fig below:

On the Site Content Type page, in the Settings section, click Workflow settings as shown in the fig below”

On the Change Workflow Settings page, click Add a workflow.
