This SharePoint tutorial we will discuss, how to work with Content Organizer in SharePoint 2013 online.
Content Organizer is a SharePoint 2013 feature that allows managing a few library tasks automatically.
These include: routing documents to different libraries or folders, Drop Off Library, folder size management and automatic folder creation, duplicate item resolution, and auditing.
To implement Content organizer follow below steps:
1- Activate Feature:
Content organizer comes as a feature, so to work with this, first, go to the site settings and then click on Manage site features under Site Actions. Then search for “Content Organizer” feature and click on Activate
2- Content Organizer Settings:
Then again go to the Site Settings page and then click on “Content Organizer Settings” which is under Site Administration.
Then in the Content Organizer: Settings page, first check the checkbox “Require users to use the organizer when submitting new content to libraries with one or more organizer rules pointing to them”, to redirect users to the Drop Off Library.
If you want to send to another site then check the check box “Allow rules to specify another site as a target location”.
If you want to create subfolders then check the checkbox “Create subfolders after a target location has too many items” in Folder Partitioning section.
According to your requirement, you can choose options in the Duplicate submission section.
You can write the email address who will manage the drop off library.
Then click on OK.
After this you will see ” Drop Off Library” will get created.
3- Document Library Content Type Settings:
Now got to the document library and then library settings page and then click on Advanced settings page under General Settings.
Then in the Content Type, select Yes in “Allow management of content types?”
4- Content Organizer Rules:
Again go to the Site Settings page and then click on “Content Organizer Rules” under “Site Administration”.
In the Content Organizer Rules page click on +add new item to add an new organizer rule. Here first give a Rule Name.
Then in the “Submission’s Content Type ” select the content type for which you want to enable. Here I have selected the Document content type.
Then define the condition. Here I have chosen If Name Contains HR.
Then select the Destination Library in the Target location. This is the place for your documents to be routed once the rule is applied.
Then click on OK.
Now try to upload a document to a document library with name contains as “HR” and then check the Destination Library. The document should be there.
If the document is not moved then wait for some time because in the backend there is the timer job associated with it. The timer job name is “Content Organizer Processing”. This executes the workflows associated with the rules established for the Content Organizer. So if this timer job executes successfully then the document will be moved.
