How to add signature in outlook webmail
Here, I am going to explain how to add a signature in outlook webmail.
- First, log in to the Microsoft Office 365 portal and then go to Outlook.
- Also, you can open Outlook by using the App Launcher (Go to App launcher >>Outlook).
- In Outlook Office 365 page on the right-hand side, Click on Settings >> View all Outlook settings.
- In the Settings window, Click on Mail >> Compose and reply.
- In Compose and reply window, Inside Email signature create a signature that will be automatically added to your email messages.
- In Message format choose whether to display the From and Bcc lines when you are composing a message.
- In Reply or Reply all choose your default response when you reply from the reading pane.
- In Link preview, select the checkbox Preview links in email option when you open a message that contains a hyperlink or add a link to a message. if you don’t want to see previews, clear the checkbox below.
- In Undo send option, Messages can be canceled for up to 10 seconds. You can choose how long Outlook will wait to send your messages.
- In Joyful animations, Select the checkbox to show the joyful animations in the reading pane.
- In Quick suggestions, Choose Offer suggestions based on keywords in my messages or Use my browser location to find places near me.
- In Suggested replies, Select the checkbox Show suggested replies. So, when you open a message, Outlook might suggest replies below the message and if you select a reply, you can edit the reply before sending it.
Click on Save to save the changes.

How to add signature in office 365 admin center
Here, I am going to explain how to add signature in office 365 admin center.
- First, log in to the Microsoft Office 365 portal and then go to Admin.
- Also, you can open Office365 admin by using the App Launcher (Go to App launcher >>Admin>>Exchange).
- Once you will click on Admin, it will open the Office 365 admin center where you can add a signature in the office 365 admin center.
- In the Exchange admin center, Click on mail flow >> rules.
- Under rules, Click on ‘+’icon and then select Apply disclaimers.
- In the new rule window, provide the below details:
- Name: Provide the name for the new rule.
- Apply this rule if: Select Apply to all messages from the drop-down menu.
- Do the following: Select Append the disclaimer
- Enter text: Click on Enter text to open the specify disclaimer text window.
- Now, Open an image that you want to add as a signature in Office 365.
- Right-click on the image and then select Copy image address.
- In specify disclaimer text window, paste the copied address in the Html tag.
Click on Ok.
- Once click on Select one, A specify fallback action window is open then choose Wrap from the drop-down menu.
Click om Ok.
- Under Properties of this rule, Select the checkbox Audit this rule with severity level.
- Under Choose a mode for this rule, Choose Enforce option.
Click on Save to save the changes.
- Now, A Warning message will appear. Select Yes to apply this rule to all future messages.
Here, Your signature has been created with your company logo.
How to add signature in Outlook Desktop
Here, I am going to explain how to add a signature in Outlook desktop.
- To open the Outlook Office 365, Click on the Start button >> Outlook.
- Once Outlook Office 365 is open, then click on Home >> New Email to open the message window.
- In Message window, Click on Message >> Signature >> Signatures.
- In Signature and Stationary window, Select New to create a new signature.
- Type the signature name in the New Signature window.
Click on OK.
In Choose default signature set the details for the signature:
- E-mail account: Choose the email account for the signature from the drop-down menu.
- New message: Choose one signature from the drop-down menu.
- Replies/forwards: Choose the signature from the dropdown menu if you want to add your signature in replies/forwards.
Under Edit signature option, you can create new signature as well as you can set the font, color, aligment and size of the signature.
Click on OK to create your signature.
Here, you can see the created signature in Outlook desktop.

How to create multiple signatures in outlook 365
Here, I am going to explain to create multiple signatures in outlook 365.
- To open the Outlook Office 365, Click on the Start button >> Outlook.
- Once Outlook Office 365 is open, then click on File.
- Now, Click on Options from the account information window.
- In Outlook Options window, Click on Mail >> Signatures to open the Signatures and stationary window.
- In Signatures and Stationery window, Click on New to create multiple signatures in Outlook Office 365.
In Choose default signature set the details for the signature:
- E-mail account: Choose the email account for the signature from the drop-down menu.
- New message: Choose one signature from the drop-down menu.
- Replies/forwards: Choose the signature from the dropdown menu if you want to add your signature in replies/forwards.
Under Edit signature option, you can create new signature as well as you can set the font, color, aligment and size of the signature.
